Why this role exists
We’re scaling an ex-US site network across Central & Eastern Europe and Georgia. With 20+ active sites and more studies coming, we need a senior coordinator who keeps studies moving across countries—making start-up and activation simple, fast, and repeatable.
What you’ll do
- Own multi-country study flow. Orchestrate day-to-day operations across sites from CDA/feasibility → CTR → start-up → SIV → activation → recruitment, keeping sites, CROs, and IH teams in lockstep.
- Speed up activation. Prepare SIVs, chase critical-path items, and drive ≤14-day activation post-SIV wherever feasible.
- Be the first-line site partner. Triage questions, unblock issues fast, and escalate crisply when decisions or resources are needed.
- Make documentation airtight. Collect/QC feasibility and start-up packages; keep trackers current (Asana/CTMS/eTMF) and audit for gaps before they become delays.
- Enable tool adoption. Train site teams on IH services/AI solutions; tailor job aids, checklists, and quick-hit workflows by role (PI, CRC, coordinator, admin).
- Keep everyone in the loop. Run a simple, predictable cadence of updates with sites and internal teams; maintain clear decision logs and action owners.
- Track performance like a hawk. Monitor cycle times, SIV→activation, screen/enroll trends, and issue SLAs; spot bottlenecks early and course-correct.
- Continuously improve. Turn recurring pain points into lightweight fixes—templates, automation, small process tweaks—and share wins across the network.
- Cover the field. Travel as needed (~20%) for selection visits, SIVs, training, and issue resolution; represent IH standards consistently across countries.
Must-have qualifications
- 5+ years as a Clinical Research Coordinator (senior level preferred) on Phase 2–4, pharma-sponsored trials; GI/IBD a plus.
- Strong ICH-GCP; confident coordinating patient journeys end-to-end.
- Hands-on with CTMS/eTMF and productivity tools (Google/Microsoft); Asana or similar PM tools.
- Trainer mindset: able to explain workflows simply and tailor by audience.
- Data-driven operator: baselines, KPIs, bottlenecks, actions, outcomes.
Comfortable with ambiguity; excellent multi-project time management; ~20% travel.
